Deactivation of your Microsoft software when you leave Cambridge

Any Microsoft software you have installed under the terms of the University's Microsoft EES Agreement will expire shortly after you leave the University, and you will need to purchase your own subscription, or software product licence, if you wish to continue using the software.

When will my University Microsoft Account stop working?

Exactly when your University software licence will be deactivated is difficult to say because is triggered by your staff or student record being deactivated by the University. This normally happens shortly after you leave Cambridge.

Departing undergraduates in the 2016/7 academical year will have their accounts deactivated on Monday 24 July 2017.

In addition to the standard email from UIS announcing the timing for deactivating your University accounts, you will start receiving emails from Microsoft reminding you that you have 30 days to make alternative arrangements – either by buying a personal subscription, or providing another Microsoft account login (for example, from a new employer).

 

What happens to my software installations and files after my University account has been deactivated?

Once your record has been deactivated by HR (for staff) or in CamSIS (for students), your user account will no longer be synched with Microsoft's Azure Active Directory. After that, you won't be able to authenticate to Microsoft's portal using your University identity.

Files stored in the Microsoft Cloud

You will have read-only access to files stored in the cloud only until UIS deactivates your University Microsoft user account. After that, you won't be able to authenticate to the Microsoft Cloud to access your files, so it is important that you transfer any data you have stored in the cloud before your account is deactivated.

Local software installations and files

Files stored on your local devices will be still be available to you in read-only mode, using the software that you have installed under the University's licence. If you wish to edit them, you can do so using any licensed copy of the Microsoft software.

 

What do I need to do before my account is deactivated?

You are responsible for managing your software licences once you leave Cambridge.

  1. You must make your own arrangements to move any files that you have stored in the Microsoft Cloud using your University account, either by physical download to storage media, or by copying to another cloud provider.

  2. If you want to continue using your Office 365 installations, you will need to sign-up for a personal Microsoft. This will allow you to license your Office 365 software again, without having to reinstall your applications.
