Migrating to Exchange Online

In 2015, the UIS sought a groupware solution that operates on a common platform to help support the University’s growing need to work collaboratively. This resulted in the purchase of the EES licence from Microsoft, which students and qualifying staff can take advantage of and download Office 365 products.

Soon after, the UIS was also looking for a single solution that could meet its need for a shared platform that would provide email, calendar and contacts in one platform. After looking at the options available, it chose Exchange Online. The UIS is now acting as the pilot institution to migrate to this new service and detailed information about the migration process is available for all UIS staff to view.

While migration to Exchange Online is not compulsory and there are currently no plans to discontinue the Hermes email system, migration to this platform offers a number of benefits and delivers:

  • 50GB of mailbox storage
  • Emails up to 150MB in size
  • The ability to use the same or similar email client
  • Mobile responsive web-based access
  • Outlook mobile app for both iOS and Android
  • The ability to share directly from Exchange Online to OneDrive for Business
  • Consolidated personal calendars, making it easier to schedule meetings
  • Group calendars to help teams work together
  • A global address list
  • The ability to create external contacts that everyone can see and share

Once it has migrated to Exchange Online, the UIS will work with early adopter institutions from across the University who have asked to move to this new platform. These early adopters include the University Library, St Johns College, the Faculty of Modern and Medieval Languages, MRC Epidemiology Unit and Clare Hall. The plan is for each institution to migrate its email system in early 2017.

Once the early adopting institutions have migrated and helped smooth the process, the UIS will offer other institutions the opportunity take advantage of the benefits this new system offers.
